Your contract will be with Tour Mart. A contract will come into existence between you and Tour Mart , when we have confirmed you on our tour / hotel booking / or any other travel related services of your choice and we have received your booking request and non refundable booking deposits. All correspondence/s regarding the Tours / Travel Service bookings should be addressed to Tour Mart.
For the services contracted, at least 50% advance payment must be made to hold the booking on a confirmed basis and the balance amount can be paid before 45 days prior to departure or on receiving the necessary visa for the tour, If multiple visas are required then payment to paid on receiving the first visa. We hold the right to decide on the amount to be paid in advance, based on the nature of the services and the time left for the commencement of the services. Apart from the aforesaid conditions, in some cases including special train journeys like Eurostar and hotel or resort bookings during the peak tourist season (Christmas, New Year), full payment must be made in advance.
Payment can be made by our secured online payment gateway system, by Bank Transfer, by Demand Draft / Cheque. All payments are required to be free and clear of any withholding tax and deduction. Bank charges, if any, for remittance (by remitting bank or by intermediary bank) must be strictly borne by the payer. Payment in the form of cash will not be entertained under any circumstances.
Rights to amend the itinerary if required:
Tour once commenced will strictly adhere to the finalized itinerary. In case of unforeseen events and circumstances well beyond our control, we reserve the right to change all or parts of the itinerary for the safety and wellbeing of our esteemed passengers.
Policy Regarding Cancellation / No Show / Early Departure:
In case of cancellation of tour / travel services due to any avoidable / unavoidable reason/s whatsoever, we must be intimated in writing. Cancellation charges will be effective from the date of receipt of your letter. The cancellation charges are appended herewith:
Cancellation Period Charges**
- 46 days prior to departure INR 25000/- per person
- 41 to 45 days prior to departure 25% of the total cost
- 31 to 40 days prior to departure 50% of the total cost
- 21 to 30 days prior to departure 75% of the total cost
- 01 to 20 days prior to departure 100% of the total cost
Please note – Irrespective of the aforesaid cancellations slabs, in case of cancellation of tour services after making the booking – a minimum 25% service charge would also be applicable.
In case of special train journey (like Eurostar or Flying Dutchmen) and for bookings in the peak season or Blackout Days no refunds will be made.
In case you cancel the trip after commencement of the tour, refund would be restricted to a limited amount depending on the amount we would be able to recover from our suppliers / agents. For the unused hotel accommodation, chartered transportations and missed meals, etc., we do not bear any responsibility and liability for refund.
With regards to the refund of unused / unutilized services (which are paid for and cancelled in advance) the refund amount would be worked out on the basis of the cancellation policy as mentioned above and the money would be accordingly refunded to the person who has made the payment to us. Please note that the refund process may take approximately 2 – 4 weeks to complete, due to banking procedures involved. If the refund is made to the Bank account, the bank charges would be deducted from the refund amount.

Our Liabilities & Limitations:
Please note that after the finalization of the tour / service cost, if there are any fare hikes in entrance fees of monuments / museums, taxes, fuel cost or guide charges, Flight Fare, Foreign Exchange Fluctuations the same would be charged as an additional amount from the customer.
Tour Mart acts only in the capacity of an agent for the hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to the terms & conditions under which these services are provided by them.
All itineraries in the site are sample itineraries, intended to give you a general idea of the likely trip schedule. Several factors including the weather, road conditions, the physical ability of the participants, Foreign Exchange Fluctuations and other uncontrollable reasons etc., may dictate itinerary changes either before the tour commencement or while on the trail. We reserve the right to change, without notice, any schedule in the interest of the trip participants’ safety, comfort & general well being.
Our rates are calculated on the basis of the prevailing rates as negotiated by us with the hotels, airlines, Service Providers etc. Hotels and Airlines retain the right to modify the rates without any prior notice. In case of such changes, the rates quoted before the modification can be changed by us keeping in line with the modifications done by hotels or airlines. All hotel bookings are based on the usual check-in and check-out time of the hotels until unless indicated in the itinerary.
We shall not be responsible for any delays & alterations in the program or expenses incurred – directly or indirectly – due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, Foreign Exchange Fluctuations, political closures or any other untoward incidents which are unexpected and not in our control.
We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting – directly or indirectly – from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes well beyond our control.
We do not have any insurance policy to cover the expenses for accident, sickness, loss due to theft, or any other reasons. Travelers are advised to seek such insurance arrangements before their travel personally or from our Insurance Service providers on an extra cost, other mentioned. All luggage & personal property/s are at the client’s risk at all times.
Passports & Visas
Travel out of India to overseas countries; one needs a 6 month valid passport [valid from the date of travel] and a valid Visa, 2 Blank pages after visa stamping. Kindly note that the processing fee involved for Passport is not included in the tour cost. In case of any passport misplacement or theft during the tour, the concerned individual will be asked to proceed to the nearest Indian Embassy for issuing a new emergency passport. The charges for issuing a new passport and travel expenses with hotel accommodation for that period will be borne solely by the individual themselves and not by us.
Any person who has a contagious disease is forbidden to travel; any person found during the tour with such a disease will be asked to leave the tour and will have to make their own arrangements to return home.
Arrival and Departure Policy: – Passengers are expected to report at the airport 3 hrs before the Expected time of departure for International Flights and 1.5 hrs before the Domestic Flight.
Hotel International Hotel policy says Hotel Check-in time is 1400 Hours & Hotel Check-out time is 1200 Hours. Early check-in is subject to availability. For a guaranteed early check-in, reservation needs to be made starting from the night before. Late check-outs are available on request, but is subject to availability / additional payment / Hotels discretion. We can always make a request for an early check-in or a late checkout if required, but we do not guarantee it, which is entirely dependent on the hotel policies, time of the year and the availability of the room. Interconnecting room is subject to availability at the time of booking / check – in.
